Instructions and help updating to ICD10 |
Some anti-virus software is interfering with our new program and conversion downloads. The files we send CANNOT / WILL NOT cause a virus problem, so you need to enable the downloads. This is usually done as an "exclusion" or "whitelist" or similar in your anti-virus software. You should exclude anti-virus checking for your ProGroup folder. If you don't know how to do this, contact your IT or hardware person. Your anti-virus software is NOT under our control or ability to know or modify. |
By now most have updated their ICD9 to ICD10 codes. We will continue to download the conversion program until October 9. If you have already run the conversion it will not affect you (other than the message, which you can ignore). If you previously chose to "postpone" (option # "1") or "never ask again" (option # "0"), it will continue to ask if you want to run the conversion until approximately October 9 as long as you choose to postpone. You can continue to choose Option # "1" to postpone and it will continue to ask until about October 9. After that, if you need to run the conversion, it will have to be done manually by request. Choose Option # "0" at any time, to not be asked again. If you won't be ready until after October 9, choose Option # "0", "Never ask again", and we will convert you manually when you are ready. |
(This instruction is likely outdated and superceded.) If you are stuck in the ICD update, don't want to do anything now, and Option # "1" doesn't let you continue: Choose Option # "0" now. You will be given further instructions on how to run the update when you are ready. If you know how you want to update your ICD codes, choose an option greater than "1" now. |
You should have automatically received a number of updates to handle the change over for ICD10 codes. These updates may continue automatically through the first week of October. It would be safest to make a complete backup of your program and data after running end of month for September and before opening for October. Check here periodically to see if there are any new issues or recommendations. Starting September 27 and continuing through October 2 you should automatically receive 2 files - "PS.FOX for ProManager and "AS.FOX" for Active Partner. Both program users will receive "ICD9210.FOX. These files should download automatically with each morning start-up from September 27-October 2 and instruct you to check here. The first Start-up after September 30 should automatically run the update program. If you get to the main menu with an October date in your program, and it has NOT run, exit the program and re-enter. Then it should run automatically. If not, wait until opening up the next day. If it still doesn't run, contact us for help. You will be given the following options in this update program: 0) Do nothing and never ask again. 1) Please do nothing now, but ask later. 2) Change all patient diagnoses indicators to 0 and nothing else. All the following will ALSO change patient diagnoses indicators to 0. 3) Replace ICD9 with ICD10 codes. 4) Keep ICD9 codes, ADD ICD10 codes, display icd10 codes on page 4. 5) Keep ICD9 codes, ADD ICD10 codes, display icd9 codes on page 4. For explanation, if any changes are made at all (any option greater than 1) all diagnosis indicators in the patient file (screen 4) will be changed from a "9" (ICD9) to a "0" (ICD10) indicator. The "Diagnosis Codes" file has 4 fields: Diagnosis Code, ICD9, ICD10 and DESCRIPTION. To reach this file: Promanager: Main Menu->System->Data Files->Diagnosis Codes Active Partner: Main Menu->Housekeeping->Files->Diagnosis Codes If you have nothing in the ICD10 field OR your Diagnosis Code is NOT the same as your current ICD9 field, Nothing will be be changed in your Diagnosis Code file, but patient screen 4 will be changed depending on the option you choose (assuming there is an ICD10 code present). If your Diagnosis Code is the same as your current ICD9 AND you have something in the ICD10 field: Option 3 will replace all Diagnosis codes with whatever is in your ICD10 field AND change the diagnoses on Patient page 4 to the new ICD10 codes. (and change the diagnosis indicator to "0") Option 4 will KEEP all your current Diagnosis codes AND make new Diagnosis codes, becoming whatever is in your ICD10 field AND change the diagnoses on Patient page 4 to the new ICD10 codes. (and change the diagnosis indicator to "0") Option 5 will KEEP all your current Diagnosis codes AND make new Diagnosis codes, becoming whatever is in your ICD10 field AND leave the diagnoses on Patient page 4 as they are. (and change the diagnosis indicator to "0") If you aren't ready yet to make the change over but want to later, choose option 1. You will be asked every time you start your program if you are ready. Keep choosing option 1 until you're ready. If you are taking care of everything manually, choose option "0" and you won't be asked again. This process with all its options gives you a great deal of flexibility in the conversion process. We believe these options, with this help, are self explanatory, but if you have any questions call BEFORE answering incorrectly. Our office will be closed September 28-30 while we prepare for your conversions.
